In any way, this optional free PPT was much more important that it seemed to be. However, S didn’t see it through and she was the only one who had not prepared in advance. Consequently, S was also the one who being challenged the most. Besides without a proper PPT to present, S also made another mistake: she didn’t understand a bit about the authority’s focus, not at all----KPIs, reports, records, analysis result—these are what the bosses want to hear about. She should emphasize what she has done with them, but instead, she talked about access cards—something might be at the bottom of bosses’ care-about list. I know why she had brought that up---the customer she met was very tough, and always gave her a hard time when she applied for access cards. In fact, we will all have a lot to say about that damn card application. She could mention it, but she should never make it like her first priority. No wonder J’s face grew sterner and sterner. He cut her short with a lot of questions: why it took so much time? Why not make an appointment first? Why not prepare better before going to the customers. Poor S, she really didn’t stand a chance.
After JT started her presentation, I mentally whistled: Now we had a winner! JT certainly is standing proudly out when it comes to Do Loudly. JT basically pissed off everyone in the company except those who carry weight. Before this meeting, I thought her best talent was manipulation, that is, she always has a way to shift her duty to someone else. However, after this meeting, I knew I had underestimated her---a lot. Frankly speaking, we all half expected to see her present, and she certainly gave us quite a surprise.
She got to the point by starting with KPI reports and grasped the boss’s attentions immediately. “She doesn’t do this report! She simply combines it!” S’s angry QQ message popped up at my computer’s screen. I shrugged and didn’t know how to reply this. No matter what, you have to admit that this girl certainly knew how to play smart. It took her about 15 minutes talking about a report she made little contribution but KPI happened to be the top priority of the boss’s concerns. So she simply scored!
I always thought that as assistant, many of our work are pretty detail-oriented and hard to be counted into our workload. However, her presentation told me how wrong I could be on this matter. She list all the items we have done, I mean, Cover-it-all, one hundred percent! Things like Holiday Notice to the customer, none of us mentioned that in our slides, I mean how many holidays we have in a year?
Another thing caught my attention is the subtle way she complaint about her workload. When she talked about GR, she said softly: “Sometimes I have to do twenty to thirty GR within a day. It’s a bit annoying, you know.”
We all stared at each other. None of us except her mentioned GR because we completely forgot about it. What the hell GR is? Ok, here’s a rough idea: You log into a system, you click a confirm button and you make a GR done! Ok, I admit here I really don’t know what to say. No matter what, she certainly made an impression here.
That’s my study note for this meeting. Everyone has certain way to cope with life, so there is no need to feel put-upon or hold grudges against those who obviously have gained more favors from the authority---everything happened for a reason, you just need to figure it out.
